Messaging

Receiving messages

In order to receive messages you must ensure that your settings are set to receive under Profiles, Personal Profile, Options.

Retrieving Messages

In the bottom right corner of WhitePhone you have a Missed Calls and Messages counter. If you have new messages you will hear a tone when the message arrives and you can click directly on the message counter to be taken to your messages. Alternatively, you can access your messages by clicking directly on the Messages Tab.

Messages can be Voice, Video, Text, Reminders, Contact Requests or Announcements from the Markets. When you click on the message counter you will be taken to All Messages. You can then select which type of message you wish to view from the drop down list.

 

Voice Messages

To play a Voice Message simply double click on the envelope / speaker symbol and a Playback box will appear. The message will be retrieved and played through your pc speakers or headset. You can press cancel to stop the message playing or wait until the message is finished. You can then reply to, forward the message or close the window. You can also close the window by hitting the escape key.

 

Text Messages

To view a text message simply double click on the envelope image. Your text message will be displayed in a pop up window. You can then choose from various options to view contact details, launch CRM, Call the person who the message is from, Reply to, forward the message or close the window. You can also close the window by hitting the Esc key.

 

Video Message

To view a video message simply double click on the camera image. Your video message will be displayed in a pop up window. You can then choose from various options to view contact details, launch CRM, Call the person who the message is from, Reply to, forward the message or close the window. You can also close the window by hitting the Esc key.

 

Announcements

To view announcements, simply double click on the announcement image. The announcement will be displayed and give details of either information or an opportunity which may be of interest to you. To reply to the announcement, simply click on the named contact and all their contact information will be displayed. You can then, call them, reply to them with a message, add them to your address book and online monitor

 

Reminders

To view a reminder simply double click on the clock icon. The reminder message will be displayed in a pop up window. You can then see the content of your reminder and act upon it.

Contact Requests

In Tools, Preferences, Options you can select whether you want another WhitePhone user to be able to add you to their address book or/and contacts list. As default this option will be set to ‘always ask me first’. If you have your options set as mentioned above then you shall receive an approval message which gives you two options: approve or decline.

If you select Yes then your details will be displayed in the other users monitor and address book/contacts list and they will receive a confirmation message.

Deleting Messages

Messages can be deleted by checking the message icon and clicking the Delete button. You can also select a group of messages by holding down Shift + Down key to highlight a block of messages or select, holding down the CTRL key and clicking on the specific messages. To remove the selected messages, click Delete.
