Messaging

WhitePhone allows users to create video mails, voice mails and text messages for other WhitePhone users. These messages can be sent to anyone who is an existing WhitePhone user and a single copy of a message can be sent to multiple recipients.

If a WhitePhone user is unavailable, off line or engaged on a call, you can choose to leave a message for the user providing they have their personal options set to receive. Alternatively, at any time you may send a message without calling the user.

All unread messages will ALWAYS appear at the top of the received messages list. Once they have been read they will then archive to the correct chronological position in the received messages history.

Creating a Video Mail

( you must have a web cam to use this feature)

You can create a video mail by:

  • Right-clicking on a contact in your online monitor.
  • Right-clicking on the contact in your Personal Address Book under the Contacts tab.
  • Clicking on Send Video button in the contact’s detailed information box.

When you have chosen to send a video mail, you will see the following popup box and a video feed via your web cam will operate.  Press Start Capture to start recording your personalized video mail and Stop Capture when your recording is done. You can Preview and Re-Record your video mail if you like. We recommend that you add a title to your video mail so that the person who receives it has an idea of the contents.

To send additional copies of your video mail, select the CC box and add in the additional people that you wish to receive the video message.

Other recipients of a video mail can’t tell who the mail has been sent to and you may need to bear this in mind when recording your message. You can also type in a header for your video mail which will allow the recipient(s) to see the subject and retrieve it more easily in future.

If your video mail is now complete just click Send.

 

Creating a Voice Mail

You can create a voicemail by:

  1. Right-clicking on a contact in your online monitor.
  2. Right-clicking on the contact in your Personal Address Book under the Contacts tab.
  3. Clicking on Send Voice button in the contact’s detailed information box.

If you call a user who is not available or doesn't answer you will hear a short message saying “Sorry I can’t take your call…..” and you can also leave a voicemail.

To leave a voice mail click on the Voice button. Then select Start Record. You can leave up to 60 Seconds of voice message and when you have finished hit Stop Record. If you are happy with the message press Send. If you want to listen to you message before sending hit Play. If you are unhappy with your message and want to re-record press Re-Record. To send additional copies of your voice mail, select the CC box and add in the additional people that you wish to receive the voice mail message.

Other recipients of a voice mail can’t tell who the mail has been sent to and you may need to bear this in mind when recording your message. You can also type in a header for your voice mail which will allow the recipient(s) to see the subject and retrieve it more easily in future.

If your voice mail is now complete just click Send. Once your voice message is sent successfully you will see “Message Sent”.

Alternatively you can send a voice mail message without calling a user by :

  • Right clicking on a contact in the Online Monitor and selecting Send Voice.
 
  • Double clicking on a Name in Address Book to bring up their profile and selecting Send Voice.
 
  • Double clicking on a Name in Net Call Logs to bring up their profile and selecting Send Voice.
 

Please note you can only leave Voice Mail for people who have selected to receive these in their preferences settings.

Creating Text Messages

You can create a text message by:
  • Calling someone who does not answer or is not available and select to leave a Text message. Click on the Text button, type your message and press Send, or
 
  • Double clicking on a Name in Personal Address Book to bring up their profile and selecting Send Text.
 
  • Double clicking on a Name in Net Call Logs to bring up their profile and selecting Send Text.
 

Text messages are limited in character length.

To send additional copies of your text message, select the CC box and add in the additional people that you wish to receive the text message.

Other recipients of a text message can’t tell who the message has been sent to and you may need to bear this in mind when wording your message. You can also type in a header for your message which will allow the recipient(s) to see the subject and retrieve it more easily in future.

If your text message is now complete just click Send. Once your text message is sent successfully you will see “Message Sent Successfully”.

Please note you can only leave text messages for people who have selected to receive these in their preferences settings.
